How Sidekick handles your information in this client portal — what we hold, why, who we share it with, and the rights you have.

Who we are
This portal is run by Sidekick Accounting Ltd (company number 12250170), registered in England and Wales at 167-169 Great Portland Street, 5th Floor, London W1W 5PF. We are the data controller for the information described here. If you have any questions about your data, email us at hello@sidekickaccounting.co.uk. We are registered with the Information Commissioner’s Office (registration number ZB601875).
What this notice covers
This notice is about the client portal at client.sidekickaccounting.co.uk. The wider relationship between you and Sidekick is covered by your engagement letter and our main privacy policy; this notice explains the portal specifically.
What we collect
- Your account. Your name and email address, used to sign you in with a one-time link.
- Your company’s tax details. Company number, tax references (UTR, VAT, PAYE, Accounts Office), and your year-end and filing dates. These come from our practice-management system, which we maintain for you.
- Your personal tax reference. Where we hold it, your Self Assessment UTR — shown only to you, never to others at your company.
- How you use the portal. Pages you view, searches you run, questions and feedback you send, and when you sign in. We use this to keep the portal secure and to improve it.
Why we use it, and our lawful basis
- To provide the portal as part of our work for you — this is necessary for the performance of our contract with you and our legitimate interests in serving you well.
- To keep it secure and improve it (the usage information above) — our legitimate interests in running a safe, useful service.
How we use AI
When you use the “what can I claim” search, AI is used for one thing only: to match what you type to the most relevant piece of guidance in our own library. It is not used to process your personal information, and your details and your company’s tax information are never sent to or analysed by AI. We keep a record of what’s searched for so we can improve our guidance. As a sensible habit, keep searches to the cost or topic you’re asking about.
Who we share it with
We don’t sell your data or use it for advertising. To run the portal we rely on a small number of trusted providers who only process your data on our instructions and under contract — covering secure hosting and database services, our practice-management software (which holds your tax details), and a messaging tool that alerts our team when you send a question or feedback. We’re happy to tell you exactly who they are on request.
Your data is stored in the EU. Where data is processed outside the UK, we rely on appropriate safeguards.
How long we keep it
We keep your tax details for as long as you are a client and for as long as we are required to retain records (as accountants, generally six years). Usage information is kept for a limited period — sign-in and audit records for around 12 months, page-activity for around 90 days, and search queries for as long as they help us improve our guidance.
How we keep it safe
Sign-in is by a one-time email link, so there’s no password to be guessed or leaked. Data is encrypted in transit and at rest, and you only ever see your own company’s information.
Your rights
You can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or provide it in a portable form. To do any of these, email hello@sidekickaccounting.co.uk. If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk.
Changes to this notice
If we change how the portal handles your data, we’ll update this notice and the date above.
